Application Guide
TIMING AND FORMAT
Side events will be held in-person during lunch breaks (13:00–15:00) between 20 – 25 October 2025.
It is open to all IFIW2025 participants.
ELIGIBILITY
- Member and Observer States
- Intergovernmental Organizations (IGOs)
- Non-Governmental Organizations (NGOs)
- Private sector
SUBMISSION PROCESS
Requests must be submitted using the IFIW2025 Side Event Request Form by 25 September 2025 via email to:

SELECTION PROCESS
Due to limited space and time, the Secretariat will select events based on:
Relevance to the agenda
Geographic representation
Balanced thematic coverage
NOTE: Organizers of similar proposals may be invited to merge events.
CONFIRMATION AND SCHEDULING
The Secretariat will notify organizers of acceptance and the assigned date/time/room.
While preferences will be considered, final allocations may change based on scheduling needs or higher-priority meetings.
In the event that higher-priority meetings are required, adjustments to the schedule may be made.
COSTS AND SERVICES
Organizers are fully responsible for:
Room usage fees
Interpretation (if requested)
Security costs (if applicable)
Audiovisual and webcasting services (upon request)
Catering (optional)
♻️ ENVIRONMENTAL RESPONSIBILITY
Events are encouraged to be paperless.
Any printed materials must be removed after the event by the organizers.
⚠️OTHER REGULATIONS
Sale of goods or materials is prohibited.
The Secretariat may remove inappropriate materials.
PROMOTION AND SCHEDULE
The provisional schedule will be posted on the IFIW2025 website.
Organizers are responsible for promoting their events.
